Job summary

Vaco by Highspring is seeking a Contract Billing Specialist to manage project-based billing from start to finish in a hybrid Costa Mesa setting. The ideal candidate will handle full-cycle billing tied to production milestones, review contracts and change orders for accuracy, and collaborate with PMs and customers to resolve discrepancies.

Required is 4+ years in contract billing, strong knowledge of progress billing and retainage, experience with ERP/accounting systems (NetSuite preferred), and

Qualifications

• 4+ years of contract billing, manufacturing, or project-based environments.
• Strong understanding of progress billing, retainage, and contract compliance.
• Experience with customer billing portals and ERP/accounting systems (NetSuite or similar preferred).
• Proficiency in Microsoft Excel.
• Strong attention to detail and ability to manage multiple projects and deadlines.

Responsibilities

• Manage full-cycle contract billing, including progress billing and invoicing tied to production milestones.
• Review contracts, purchase orders, and change orders to ensure billing compliance, including lien waivers and retainage tracking.
• Partner with project managers, customers, and internal teams to resolve discrepancies and support timely billing and closeout.
• Maintain accurate billing records, support month-end close, and assist with reporting and forecasting.
• Use ERP systems and customer billing portals to submit invoices and supporting documentation.
