Job summary

Jobot in Irvine is seeking an organized Project Coordinator to support project management and field teams on technically complex commercial construction projects.

You will prepare submittals, track documents, maintain files, coordinate with subs and vendors, and assist with billing, schedules, and closeout paperwork. This role offers mentorship, growth opportunities, and a structured path within a reputable firm.

Qualifications

• 1+ years of project coordination, administrative, or construction industry experience required.
• Experience with a general contractor, subcontractor, architecture firm or engineering firm is a plus.
• Assist with preconstruction and bidding efforts, including subcontractor outreach and bid tracking.
• Strong organizational skills with the ability to manage multiple priorities and deadlines.

Responsibilities

• Support Project Managers, Superintendents and Project Engineers through all construction phases.
• Prepare, distribute and track submittals, RFIs, change orders and other project docs.
• Maintain project files, drawings, specs, contracts and correspondence.
• Coordinate with subcontractors, vendors, architects, consultants and internal team members.
• Assist with subcontractor onboarding, insurance documentation, contracts and purchase orders.
• Track schedules, procurement deadlines and deliverables.
• Prepare meeting agendas and minutes; distribute follow-up items.
• Assist with project billing, cost documentation and budget tracking.
• Support closeout documents, warranties and manuals.
• Maintain accurate information in the construction management software.
• Provide administrative and operational support to keep projects organized and on schedule.
