Job summary

ARCO, a family of construction companies, is seeking a detail-oriented Project Coordinator in Downers Grove, IL. You will support project managers, prepare documents, manage schedules, and coordinate meetings and travel, while maintaining files and ensuring timely proposals.

The ideal candidate has 3–10 years in construction administration, strong Word/Excel skills, and a proactive, organized mindset. ARCO offers a comprehensive benefits package and growth opportunities.

Qualifications

• Must be extremely organized, self-reliant, proactive, and detail-oriented.
• 3–10 years of related experience, construction administration experience considered a plus.
• Excellent computer skills; proficient in Microsoft Word and Excel.

Responsibilities

• Typing/preparing letters, bid instructions, meeting minutes, weekly updates, memos, proposals, and timesheets.
• Assist Project Managers with proposals by typing up letters, managing work/design schedule, and assembling proposal books.
• Maintain lists for Project Managers, including region job lists and subcontract tracking.
• Prepare forms and documents (Subcontracts, Purchase Orders, Change Orders, AGC Agreements, Professional Service Agreements).
• Coordinate proposal and capabilities packages and assemble materials with Project Manager input.
• Arrange meetings and trainings, schedule, prepare handouts, and coordinate lunches.
• Book travel as needed and answer phone communications with vendors/customers.
