Job summary

Ascendion is seeking a Document Controller in Phoenix to establish, maintain, track, review, and govern project documentation throughout the construction lifecycle from design to turnover and operations.

The role serves as the central coordinator between the project team, contractors, design consultants, commissioning teams, vendors, and Operations to ensure records are complete, current, traceable, properly classified, and stored in the approved repository.

Qualifications

• Experience maintaining organized and traceable project records.
• Ability to control document numbering, naming, revision status and metadata.
• Experience tracking submittals, RFIs, drawings, reports and turnover deliverables.

Responsibilities

• Maintain organized and traceable project records throughout the construction lifecycle.
• Control document numbering, naming, revision status, metadata, distribution, filing, retrieval, and archival.
• Maintain document registers and trackers for drawings, submittals, RFIs, reports, permits, certificates, closeout records, and turnover deliverables.
• Verify that documents are uploaded and filed within the appropriate project repository and folder structure.
• Identify duplicate, obsolete, superseded, incomplete, or incorrectly classified documentation.
• Maintain clear audit trails showing document status and ownership.
• Coordinate with responsible stakeholders when documentation is overdue, incomplete, or requires correction.
