Job summary

Warwick Animal Hospital is seeking a skilled veterinary receptionist to serve as the primary contact for clients and their pets. The role balances administrative precision with warmth across a range of interactions, including emotionally sensitive situations.

The successful candidate will have experience managing high-volume front desk operations, remain composed under pressure, and deliver consistent, high-quality customer service in a clinical setting.

Qualifications

• Minimum 1 year of experience as a veterinary receptionist or medical receptionist in a clinical setting.
• Experience with veterinary practice management software; Cornerstone, Avimark, ImproMed, eVetPractice preferred.
• Knowledge of veterinary medical terminology, vaccination protocols, and basic diagnostic procedures.
• Proficiency in appointment scheduling, multi-line phone management, medical records management, and payment processing.
• Proven customer service skills; ability to manage high-volume client relations with composure and accuracy.
• Strong verbal and written communication skills, including active listening and conflict resolution.
• Comfortable handling animals of varying sizes, breeds, and temperaments.

Responsibilities

• Greet and check in clients and patients using practice management software and verify/update records.
• Answer and manage a multi-line telephone system, scheduling appointments and handling inquiries.
• Process payments, post charges, explain invoices, and schedule follow-ups.
• Communicate medical information compassionately, including in sensitive situations such as euthanasia scheduling.
• Maintain accurate EMR and ensure timely data entry in the PIMS system.
• Coordinate with veterinarians and staff to relay messages and maintain patient flow.
• Maintain a clean, organized reception area for a positive client experience.
