Responsibilities

  • Manage a portfolio of community associations and provide exceptional service to Boards and homeowners.
  • Be the primary point of contact for assigned association boards.
  • Prepare for and attend board, annual, and special meetings, including some evenings.
  • Prepare meeting agendas, management reports, minutes, and follow-up items.
  • Develop and maintain relationships with board members, homeowners, and partners.
  • Coordinate maintenance projects and oversee vendor performance.
  • Solicit bids, negotiate contracts, monitor compliance.
  • Conduct property inspections and address maintenance or covenant issues.
  • Assist boards with budget planning, reserves, and capital improvements.
  • Review financial statements and collaborate with accounting on collections and reporting.
  • Ensure compliance with governing documents and state laws.
  • Respond to homeowner inquiries professionally and promptly.
  • Maintain records for each community and collaborate with internal teams.

Community Association Portfolio Manager

Position Summary

We are seeking an experienced, organized, and customer-focused Community Association Portfolio Manager to oversee the day-to-day management of a portfolio of homeowners associations (HOAs), condominium associations, and community associations. This position serves as the primary liaison between association boards, homeowners, vendors, and the management company, ensuring that each community is professionally managed in accordance with governing documents, applicable laws, and board directives.

The ideal candidate is an excellent communicator, skilled problem solver, and proactive leader who thrives in a fast-paced environment while managing multiple communities.

Key Responsibilities
  • Manage a portfolio of community associations, providing exceptional service to Board of Directors and homeowners.
  • Serve as the primary point of contact for assigned association boards.
  • Prepare for and attend board meetings, annual meetings, and special meetings, including some evening meetings as required.
  • Prepare meeting agendas, management reports, minutes (or oversee their preparation), and follow-up action items.
  • Develop and maintain strong working relationships with board members, homeowners, and business partners.
  • Coordinate maintenance projects and oversee vendor performance.
  • Solicit bids, negotiate contracts, and monitor contract compliance.
  • Conduct regular property inspections and identify maintenance or covenant enforcement needs.
  • Assist boards with budget planning, reserve projects, and long-term capital improvements.
  • Review monthly financial statements, monitor association budgets, and work closely with accounting staff on collections, payables, and financial reporting.
  • Ensure compliance with governing documents, state statutes, and company policies.
  • Respond promptly to homeowner inquiries and resolve issues professionally.
  • Maintain accurate records and documentation for each assigned community.
  • Collaborate with internal departments to provide seamless service to clients.
Qualifications (Required)
  • Community association management experience or related property management experience.
  • Strong knowledge of HOA and condominium operations.
  • Excellent verbal and written communication skills.
  • Outstanding organizational and time management abilities.
  • Ability to prioritize multiple responsibilities across several communities.
  • Experience managing vendor relationships and service contracts.
  • Proficiency with Microsoft Office (Outlook, Word, Excel).
  • Valid driver's license and reliable transportation.
Preferred
  • Professional designation such as CMCA®, AMS®, or PCAM®.
  • Experience with community association management software
  • Knowledge of applicable state community association laws.

Schedule
  • Full-time (Flex/Remote Work days available after 90 days of service)
  • Monday–Friday (9:00-5:00 M-T, 9:00-1:00 F)
