Job summary

Carilion Clinic in Roanoke, VA is seeking a Specialty Scheduler for the Colorectal Practice to manage multiple providers’ surgery schedules and prepare packets for facilities. You will consistently deliver strong customer service and accurate patient information communication, supporting coordinated pre- and post-operative care.

The role requires strong computer skills, keyboarding, and attention to detail, with familiarity in medical terminology and CPT coding preferred.

Qualifications

• High School diploma or equivalent required.
• Computer and word processing knowledge and experience required.
• Keyboarding skills are essential.
• Medical terminology preferred.
• Knowledge of CPT coding preferred.
• Effective interpersonal, communication and teamwork skills required.
• Must successfully complete orientation and competency validation for position.
• Above average organizational skills with attention to detail in work.
• Strong reading, writing, spelling, grammar, punctuation and mathematical calculations.
• Maintains composure under pressure and diffuses tension through effective communication.

Responsibilities

• Communicates with providers and team members about appointments and surgery information for specific patients.
• Performs patient interviews to assess pre-operative needs based on guidelines.
• Answers calls, screens messages, and provides information to patients and others in a timely fashion.
• Posts surgical case information and distributes patient information to key staff.
• Coordinates pre-/post-surgical care, including appointments, lab work, and education.
• Ensures proper equipment is available for surgery by coordinating with reps and management.
• Manages block time usage and communicates with other schedulers to release or utilize open time.
• Maintains OR utilization reports for Carilion Clinic facilities and affiliated centers.
• Documents surgery details in physician calendars and updates demographics as needed.
• Assists with scheduling tests and outside physicians if applicable.
• Completes authorization or works with authorization team to ensure pre-certification.
• Communicates with Financial Counselors regarding surgeries.
