Job summary

Talentify is seeking a Scheduling Specialist to be the face of the clinic for clients and families, and to support the clinical team by flexibly performing multiple functions at the center. The role ensures timely and accurate scheduling changes for staff and clients and coordinates the start of service.

You will greet clients, answer phones, record cancellations and reschedules, maintain orderly center operations, and uphold HIPAA guidelines while supporting in-market centers as needed.

Qualifications

• Must be a high school graduate/GED equivalent.
• At least one year of experience with clients and/or families in a medical or therapeutic setting including administrative or customer service work.
• Strong organizational skills and attention to detail.
• Experience handling multi-line phone systems and office equipment.
• Knowledge of HIPAA privacy and security rules.

Responsibilities

• Scheduling: maintain permanent schedules and variances and coordinate start of service.
• Record and track cancellations, reschedules, and time off to ensure treatment hours are delivered.
• Answer phones and greet clients; facilitate center communications with staff.
• Support center operations, logistics, and supplies; ensure cleanliness and organization.
• Coordinate trainings and communications with clinic and corporate support as needed.
• Onboard new clients with Intake and ensure smooth first day of ABA services.
