Prism Haus is seeking a highly organized Client Operations Coordinator to oversee client delivery workflows. This part-time, remote role focuses on monitoring activities, tracking deadlines, and ensuring smooth transitions between team members without handling strategy or content creation.
You’ll work primarily with HoneyBook, Trello and Voxer to keep projects moving, follow up on approvals, and coordinate client meetings. Ideal for someone who loves checklists and accountable follow-through.
Part-Time | Remote | Flexible | $300/month
THE ROLE
Prism Haus is looking for a highly organized, proactive Client Operations Coordinator to become the checks-and-balances person behind our client delivery process.
This isn’t a traditional assistant role, and we don’t need someone sitting at a computer for eight hours a day. We need someone who can consistently keep eyes on our active client workflows and answer:
What needs to happen next? Who owns it? When is it due? Did it happen?
You’ll work primarily inside HoneyBook, Trello and Voxer to monitor projects, follow up on deadlines, track approvals, coordinate scheduling and make sure work moves smoothly from one person to the next.
Monitoring active client projects, timelines and deadlines
Keeping Trello accurate and current
Tracking forms, approvals and deliverables
Following up with clients and team members
Coordinating client meetings and Content Days
Making sure completed work moves to the next person
Monitoring recurring monthly workflows
Catching bottlenecks before they become problems
Keeping track of what’s waiting on the client, team or CEO
Improving simple checklists/processes as needed
Escalating only the things that genuinely require CEO involvement
You are not responsible for client strategy, social media creation, graphic design or video editing. Your job is to make sure the people responsible for those things know what needs to happen and when—and that it actually happens.
You’re naturally organized. You notice when something has been forgotten. You don’t mind following up. You love a good checklist or project board. You’re comfortable holding people accountable without being weird about it. You solve what you can before asking for help.
Most importantly, you don’t need someone constantly checking behind you.
We want someone who gets genuine satisfaction from being able to say:
“It’s handled.”
DETAILS
Some weeks will require very little time; others may require more depending on client activity. This is an outcome-based role rather than a traditional hourly position.
As our client volume and the responsibilities of the role grow, we’ll revisit scope and compensation.
