Job summary

ExamWorks is seeking a Client Coordinator for a 100% remote role. You will connect clients with information and support while keeping critical processes moving behind the scenes.

The position follows a Monday–Friday EST schedule with flexible start times. Responsibilities include handling inquiries, entering data, coordinating with QA, and performing clerical duties, all while upholding HIPAA regulations and delivering strong customer service.

Qualifications

  • High school diploma or equivalent.
  • Minimum one year customer-service experience; or equivalent combination of education and experience preferred.
  • Must possess complete knowledge of general computer, fax, copier, scanner, and telephone.
  • Must be knowledgeable of multiple software programs, including Microsoft Word, Outlook, Excel, and the Internet.
  • Must have ability to be trained on and adhere to HIPAA regulations and compliance standards.
  • Ability to follow instructions and respond to management’s directions accurately.
  • Must demonstrate accuracy, thoroughness, and responsibility for quality of work, and ability to take initiative to identify improvements.
  • Must demonstrate exceptional communication skills.
  • Must be able to work independently, prioritize work activities and use time efficiently.
  • Must be able to maintain confidentiality.
  • Ability to follow all company policies and procedures in effect at time of hire and as they may change or be added from time to time.

Responsibilities

  • Handle inquiries from clients and/or anyone acting on behalf of the client regarding questions, report status, concerns, or general information requests.
  • Enter client or claimant information into systems and retrieve information as needed.
  • Maintain daily contact with the QA department regarding workflow and report status.
  • Contact providers for assignment and update the database.
  • File and archive open and closed cases.
  • Verify client information is current and complies with guidelines.
  • Work independently and with team to address questions and ensure timely case resolution.
  • Direct calls to other departments as needed.
  • Perform clerical duties such as typing, filing, emailing, and proofreading.
  • Assist in resolution of customer complaints and QA issues.
  • Notify management of any report issues or concerns.
  • Ensure compliance with safety and legal regulations.

Job description

As a Client Coordinator, you’ll help connect clients with the information and support they need while keeping critical processes moving behind the scenes.


This 100% remote (work-from-home) position offers the opportunity to work with a collaborative team, build meaningful relationships, and develop valuable administrative and customer service skills in a healthcare-focused environment.


The schedule for this role is Monday through Friday. You’ll select a consistent EST schedule that works best for you, with start times ranging from 7:30am-9:30am. Examples include 7:30am-4:00pm, 8:30am-5:00pm, 9:00am-5:30pm or 9:30am-6:00pm.

Responsibilities may include:



  • Handle and respond promptly to inquiries from clients and/or anyone acting on behalf of the client regarding questions, report status, concerns, or general requests for information.


  • Utilize appropriate systems and databases to enter client or claimant information and or retrieve information.


  • Maintain daily contact with the QA department regarding workflow and pending report status.


  • Contact providers for assignment and update database.


  • File and archive open and closed cases.


  • Verify all client information is current in the database and all client specific guidelines and or rules or information is documented in the system.


  • Work independently and in partnership with other team members to ensure that questions are addressed, documented and cases are returned in a timely fashion.


  • Direct calls to other departments as needed.


  • Perform various clerical duties such as typing, filing, emailing, and proofreading.
