The Role At a Glance

We are looking for a Catering Sales Coordinator to join our Constellation team at the Barnes Foundation in Philadelphia, PA. This is a great opportunity if you have a catering events background and experience in planning and executing those events. You will support the needs and goals of the Director of Catering, the Catering Sales Manager, and the Event Specialist. If you aim to advance your career in catering event management, this role is suitable for you.

What You'll Be Doing

• Supporting the operations team to ensure successful event execution, assisting the Event Manager, Captains, and sometimes acting as a junior sales specialist during busy periods.
• Ensuring all event details in CaterXpert are accurate and complete before deadlines.
• Assisting with event setup and execution.
• Scheduling event rentals for deliveries and pickups that suit the venue and staff.
• Maintaining the event calendar via Outlook and attending meetings and conference calls.
• Communicating with sales, culinary, and booking staff to ensure clarity on menus and client needs.
• Managing payments and deposits related to events, ensuring timely collection, and reviewing weekly AR reports for discrepancies.

Must-haves

• At least 2 years of catering, food & beverage, administrative, or event experience.
• Basic knowledge of PC applications (Word & Excel).

Nice-to-haves

• Safe Food Handlers Certification.
