Job Title: Sales Coordinator

Department: Sales & Revenue

Reports To: Inventory Manager

FLSA Status: Non-Exempt (Hourly)

Location: Remote/Alaska Portfolio Support

Position Summary: The Hotel Sales Coordinator provides administrative and operational support to the Sales and Revenue team for the Alaska hotel portfolio. This position is instrumental in ensuring accurate data entry, coordination of group bookings, and communication between properties and corporate leadership. Working closely with the Inventory Manager, the Sales Coordinator helps manage inventory, assists with rate loading, and supports efforts to maximize occupancy and revenue across all assigned properties.

Key Responsibilities:

  • Assist with group inquiries, including tracking, communicating with clients, and ensuring proper documentation and follow-up.
  • Input and maintain rate codes, group blocks, and packages in hotel systems as directed by the Inventory Manager.
  • Communicate booking details, changes, and requirements to hotel teams in a timely and organized manner.
  • Monitor room inventory and assist with rate audits to ensure accuracy and alignment with strategy.
  • Support the creation and distribution of internal sales and booking reports.
  • Maintain updated sales and group records, contracts, and documentation in shared systems.
  • Assist with promotional and marketing efforts, including distribution of special offers or newsletters.
  • Provide clerical support such as preparing proposals, contracts, and meeting notes.
  • Act as a liaison between the Inventory Manager and hotel sales/front office teams to support alignment and execution of group bookings.
  • Support seasonal and long-term booking strategies, particularly during periods of high occupancy.

Qualifications:

  • Previous experience in hospitality, sales support, or administrative coordination preferred.
  • Familiarity with hotel property management systems (PMS), sales & catering platforms, or OTA extranets is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication abilities.
  • Proficient in Microsoft Office Suite (especially Excel, Outlook, and Word).
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • High level of professionalism, discretion, and customer service mindset.

Working Conditions:

  • Primarily remote, with occasional in-person meetings or training as needed.
  • Must be available during Alaska business hours and able to support multiple time zones when required.
  • May be asked to assist with on-call support during peak travel seasons.
