We are looking for a Catering Sales Coordinator to join our Constellation team at the Barnes Foundation in Philadelphia, PA. This is a great opportunity if you have a catering events background and experience planning and executing those events. You’ll support the needs and goals of the Director of Catering, the Catering Sales Manager, and the Event Specialist. If you are looking to advance your career in managing catering events, this is a great role for you.

***This position requires flexible hours; must be able to work events in the evening and on weekends.***

What you'll be doing:

• Supporting the Director of Catering, sales team, and General Manager to ensure perfect event execution. Acting as support to the Event Manager and Captains, and sometimes as a junior sales specialist during busy periods. Maintaining a positive attitude and striving to improve team execution and timeliness.
• Ensuring all event information in CaterXpert from the sales team is up-to-date and detailed before deadlines.
• Assisting in the setup and execution of events.
• Scheduling event rentals for deliveries and pickups convenient for specialists or venue managers.
• Maintaining the calendar of events via Outlook and attending all relevant meetings and calls.
• Communicating with sales, culinary, and booking staff to ensure understanding of menus and client needs.
• Managing the collection and submission of payments and deposits related to events, ensuring timely payments, reviewing weekly AR reports, and resolving discrepancies or late payments.

What we're looking for:

Must-haves:

• At least 2 years of catering, food & beverage, administrative, or event experience.
• Basic PC skills, including Word and Excel.
