Job summary

Independent Home Health seeks a proactive Home Care Scheduler to coordinate daily and weekly schedules, ensuring client visits align with each Plan of Care and that records in HHAeXchange are accurate and up-to-date.

You will monitor EVV to maintain clock-in/out compliance and meet OD P regulations, acting as the main contact for scheduling challenges and emergencies while supporting admissions and recruitment in caregiver placement.

Qualifications

• 1–2 years of scheduling or administrative experience in home care or medical office settings.
• Strong computer literacy (Google Workspace) and experience with scheduling software (HHAeXchange preferred).
• Familiarity with EVV systems is a major plus.
• Demonstrates multitasking, problem-solving, and a calm, professional demeanor under pressure.
• High integrity with discretion when handling confidential health information (HIPAA).

Responsibilities

• Schedule daily/weekly calendars ensuring client visits are covered per Plan of Care (POC).
• Maintain accurate records in HHAeXchange and keep profiles current.
• Monitor EVV daily to ensure clock-in/out compliance and regulatory requirements.
• Serve as first point of contact for call-outs and emergencies, closing care gaps to maintain continuity of care.
• Collaborate with admissions and recruitment to optimize caregiver placement and onboarding.

The Role

As our Home Care Scheduler, you are the backbone of our daily operations. You will be the primary point of contact for coordinating schedules, ensuring optimal client coverage, and maintaining seamless communication between management, caregivers, and partners.

Key Responsibilities

• Schedule Excellence: Create and manage daily/weekly schedules, ensuring all client visits are covered according to their Plan of Care (POC).
• System Mastery: Maintain accurate records in HHAeXchange and ensure all profiles are current.
• Compliance Champion: Monitor Electronic Visit Verification (EVV) daily, ensuring clock-in/out compliance and ODP regulations are met.
• Problem-Solver: Serve as the first point of contact for call-outs and emergencies, proactively closing care gaps to maintain continuity of care.
• Team Collaborator: Work with admissions and recruitment to optimize caregiver placement and support onboarding.

What You Bring

• Experience: 1-2 years in scheduling or administrative roles within a home care or medical office setting.
• Technical Proficiency: Strong computer literacy (Google Workspace) and experience with scheduling software (HHAeXchange preferred).
• Knowledge: Familiarity with EVV systems is a major plus.
