Job summary

Concord Hospital Health System is seeking a Specialty Practice Scheduler to ensure timely and compassionate customer service and to coordinate care between specialty, primary, and ancillary services.

The role focuses on scheduling clinic and diagnostic testing, obtaining prior authorizations, and handling pre/post testing workflows while supporting referral coordination and admin functions.

Qualifications

• High School degree or GED required.
• Strong communication and interpersonal skills required.
• Knowledge of medical office operations, including scheduling, registration, EMR, patient flow, billing, coding, referrals, authorizations, payor guidelines, compliance, credentials, privileges, regulatory agencies, and DNV standards preferred.
• Familiarity with medical terminology preferred.

Responsibilities

• Greet patients in person and on the phone in a cordial, professional and compassionate manner.
• Facilitate patient care between specialty, primary, and ancillary services (e.g., lab, radiology).
• Spends at least 70% of time scheduling clinic and diagnostic testing/procedure appointments.
• Obtains diagnostic testing/procedure prior-authorization with payers.
• Ensures all appropriate pre-diagnostic testing/procedure labs and post-diagnostic appointments are scheduled/completed.
• Completes appropriate diagnostic testing/procedure questionnaires.
• Educates patient on diagnostic study/procedure preparation.
• Aids communication and coordination among clinicians by ensuring availability of notes and information regarding procedures, diagnostic testing, and appointments.
• Communicates with outside offices, facilities and hospital departments to help facilitate care and services (CH and outside referrals).
• Researches incomplete or incorrect orders.
• Prioritizes work appropriately, attending to tasks while serving patients at the window.
• May support other administrative functions in the practice as needed.
