Job summary

Bloomington Public Schools is seeking a Cabinet Administrative Secretary to provide administrative support to the Executive Director of Human Resources and the HR team, including handling board documentation, contracts, and leave processes.

This full-time, 12‑month position requires strong communication, proficiency with Google Suite and Microsoft Office, attention to detail, organization, and ability to multitask in a fast-paced office setting. Experience with HRIS or Laserfische is preferred.

Qualifications

  • High school diploma or GED required.
  • Prefer five years administrative assistant or HR experience, preferably in education.
  • Proficient with Google Suite and Microsoft Office; strong written and verbal communication.

Responsibilities

  • Administrative Support: main support for the Executive Director of HR; assist with board documentation and contracts; file in Laserfische; record-keeping and leave processing.
  • Workers Compensation: oversee the workers compensation process, receive accident reports, create FROI, interface with SFM and employee.
  • Summer Unemployment: collaborate on summer unemployment tracking with HR leadership.

Job description

Position:

Cabinet Administrative Secretary

Pay:

Class V of the Clerical Contract. Begins at $27.20 but could be higher based on experience.

Hours:

Fulltime - 12 month position

The Administrative Secretary provides administrative support to the Executive Director of Human Resources and the Human Resources team. In addition, they will be responsible for the Workers Compensation process in the District.

Required Skills:
  • Proficient in Google suite tools, including Gmail, Chat, Meet, Calendar; Drive for storage; Docs, Sheets, Slides, Forms, and Sites for collaboration; and Microsoft Office (Word, Excel, PowerPoint).
  • Strong communication and customer-service skills, including personable attitude, and ability to communicate effectively, both verbally and in writing.
  • Ability to work independently and multitask in a high-demand setting.
  • Strong problem-solving and analytical skills.
  • Detail oriented to ensure tasks are completed in a timely manner.
  • Strong organizational skills.
  • Collaboration and team building experience.
Preferred Skills:
  • Experience in Laserfische, HRIS or similar tools.
  • Familiar with Skyward.
Education and Experience:
  • High school education or GED
  • Prefer five years administrative assistant experience or HR experience, preferably in an educational setting.
Responsibilities:
  • Administrative Support: Main Administrative Support for the Executive Director of HR. Will be responsible for assisting with board documentation, and contracts. Will also provide administrative support to the HR team as needed, and could include filing in Laserfische, record-keeping and file maintenance, and assisting with the leave process. Processes teacher and para timesheets as they come in, as well as the manual ESST calculations that must be completed.
  • Workers Compensation:Will oversee the workers compensation process for the District, including receiving accident reports, creating FROI and interfacing with SFM and the injured employee.
  • Summer Unemployment: Will work closely with the Executive Director of Human Resources on summer unemployment tracking, including responses to the State.
Working Conditions/Physical Requirements
  • Duties are generally performed in a typical office/school setting where there are minimal environmental hazards and risks. Employee(s) may be exposed to some disagreeable conditions involving human/coworker contact and exposure to minor illness.
  • Ability to perform the following actions: standing, sitting, using hands dexterously, talking, hearing, lifting and carrying up to 25 pounds on occasion, reaching, stooping, walking, bending, crouching.
