The Business Office Manager oversees internal business processes, including accounts payable, employee payroll, vendor contracts, and record management. This role contributes to the organization’s financial health by managing daily operations, ensuring target dates are met, and maintaining efficient processes.

The responsibilities of the Business Office Manager include:
  1. Completing employee payroll accurately and timely, including reconciliation of hours, verification of timesheets, bonuses, and resolving pay discrepancies. Communicating with staff and/or corporate office regarding payroll issues.
  2. Compiling, tracking, and submitting AR invoices for vendor purchases and services, ensuring accuracy and timeliness.
  3. Negotiating and managing vendor contracts to maintain cost-effectiveness and quality.
  4. Establishing par levels for office supplies and ensuring supplies are ordered and available for staff use.
  5. Managing purchase-order requests and tracking invoices to ensure delivery of items.
  6. Collaborating with the CEO to draft Capital Expense (Capex) requests when needed.
  7. Reconciliating month-end operating reports.
  8. Leading and optimizing office processes to enhance efficiency and productivity.
  9. Supporting the Executive Team in tracking budgeted expenses and completing mid-month expense projections.
  10. Assisting departments with resolving Kronos issues, missed punches, overtime reports, and FTE management.
  11. Responding to employee questions regarding payroll, time off, or Kronos access.
  12. Supporting department heads with questions related to budgets, check requests, and policies.
  13. Processing check requests, managing petty cash and credit card receipts.
  14. Verifying benefits and eligibility on admission, preparing admission folders, collecting co-pays/deductibles, establishing payment plans, coordinating with review and discharge planning, providing patient benefit info, and managing financial arrangements with collections.
Qualifications:
  • Minimum 2 years in Healthcare Administration, Business, Finance, or related field; Bachelor’s degree preferred.
  • Experience with Kronos and proficiency in Microsoft Office preferred.
  • Notary Public or eligibility to become one within the first year of employment.
  • Excellent communication skills.
