The Business Office Manager oversees internal business processes including accounts payable, employee payroll, vendor contracts, and record management. The role contributes to the organization’s financial health by managing daily operations, ensuring deadlines are met, and processes are efficient.

Responsibilities include:

  • Processing employee payroll accurately and timely, including reconciliation, verifying timesheets, bonuses, and resolving discrepancies. Communicating payroll issues with staff and corporate office.
  • Managing AR invoices for vendor purchases and services, ensuring accuracy and timeliness.
  • Negotiating and managing vendor contracts to ensure cost-effectiveness and quality.
  • Establishing and maintaining par levels for office supplies, ensuring availability for staff.
  • Handling purchase requests and tracking invoices for delivery.
  • Collaborating with CEO on Capital Expense (Capex) requests.
  • Reconciling month-end operating reports.
  • Leading office process improvements to enhance efficiency and productivity.
  • Supporting budget tracking and expense projections.
  • Assisting with Kronos issues, overtime, and FTE management.
  • Responding to employee payroll and time-off questions.
  • Supporting departmental and corporate inquiries related to budgets, policies, and supplies.
  • Processing check requests, managing petty cash and credit card receipts.
  • Verifying benefits and eligibility, managing patient co-pays, establishing payment plans, and coordinating discharge financial procedures.

Qualifications:

  • Minimum 2 years in Healthcare Administration, Business, Finance, or related field; Bachelor's preferred.
  • Experience with Kronos and proficiency in Microsoft Office preferred.
  • Notary Public or ability to obtain within first year.
