Vaco by Highspring is seeking a Billing Specialist to join our accounting team in Freehold, NJ. The role focuses on customer invoicing, payment application, and collections support in a fast-paced environment.

The ideal candidate has strong billing experience, especially AIA billing, with proficiency in QuickBooks and common billing portals. This in-office position requires attention to detail and collaboration with the accounting team.

Qualifications

• 5+ years of customer invoicing/billing experience
• 2+ years of AIA billing experience
• 3+ years of QuickBooks or similar accounting software experience
• Experience with Textura, Procore, or similar billing portals
• Associate's degree or higher in Accounting preferred
• Strong knowledge of Microsoft Office (Excel, Word, Outlook)
• Excellent written and verbal communication skills
• Strong customer service and professional phone/email etiquette
• Highly organized with excellent attention to detail
• Ability to manage multiple priorities and work independently
• Construction, contracting, landscaping, or related industry experience preferred

Responsibilities

• Manage customer invoicing, including monthly contracts, time & materials, and AIA billing
• Post customer payments and apply them to invoices
• Assist with collections for overdue accounts via calls and emails
• Track retainage and coordinate release requests
• Maintain accurate billing and customer accounts
• Use online billing portals and accounting systems
• Assist with various accounting and administrative tasks
• Support A/R Manager and Accounting with special projects
