Job summary

Utah Valley Pediatrics in Orem, UT is seeking a friendly Receptionist to join our pediatric office team. You will be the first point of contact for patients and families, greeting them warmly, checking in patients, verifying information, and coordinating appointments in a fast-paced environment.

This part-time, in-person role requires bilingual English/Spanish, excellent communication, HIPAA compliance, and familiarity with EHR and Microsoft Office.

Qualifications

• High school diploma or equivalent required.
• Prior receptionist or customer service experience in a medical setting preferred.
• Familiarity with EHR systems and basic office software (Microsoft Office).
• Excellent interpersonal and communication skills, including professional phone manner.
• Ability to multitask and stay calm in a fast-paced environment.
• Confidentiality and HIPAA compliance.

Responsibilities

• Greet patients and families warmly upon arrival and provide a welcoming atmosphere.
• Check-in patients, verify personal and insurance information, and ensure forms are completed.
• Schedule appointments and manage the office calendar.
• Answer calls, address inquiries, and route messages to staff.
• Inform patients about office policies and procedures.
• Notify patients of upcoming appointments and changes.
• Collect copayments, process billing, and assist with payments questions.
• Maintain accurate patient records in the EHR system.
• Handle mail and general office correspondence.
• Coordinate patient flow to minimize wait times.
• Keep reception area clean and stocked with materials.
• Provide administrative support to medical staff.
