Job summary

Hunter+Sage in South Houston is seeking a highly organized, bilingual onboarding coordinator to support a welcoming experience for new hires. You will manage pre-employment activities, onboarding docs, orientation logistics, system access, and follow-up through the first week.

The role requires detail-orientation, responsiveness, and ability to juggle priorities while partnering with HR, Recruiting, Payroll, IT, Operations, and hiring managers. Spanish-speaking candidates are preferred.

Qualifications

• High school diploma or equivalent required; associate or bachelor’s degree in HR, Business Admin, Communications or related field preferred.
• 2–3 years of onboarding, HR coordination, or related experience preferred.
• Knowledge of onboarding processes, HR administration, employment documentation, employee records, and compliance.

Responsibilities

• Coordinate end-to-end onboarding for assigned new hires, including pre-employment requirements, start-date prep, orientation scheduling, and first-week follow-up.
• Prepare, collect, review, and track new hire documentation for accuracy and timely submission.
• Support background checks, employment verifications, I-9 documentation, policy acknowledgments, and other pre-employment requirements.
• Serve as primary point of contact for new hires, providing clear, timely, professional communication throughout the process.
• Partner with HR, Recruiting, Payroll, IT, Operations, and hiring managers to coordinate start dates, equipment, and system access.
• Assist with new hire orientation sessions, onboarding presentations, welcome communications, and related administrative prep.
• Enter and maintain onboarding information in ADP, ATS, and internal tracking tools.
• Maintain accurate onboarding records, checklists, and employee files, protecting confidential information.
• Monitor onboarding progress, identify missing information or delays, escalate as needed.
• Support improvements to onboarding workflows, SOPs, templates, and training materials.
• Provide additional HR/onboarding support as needed.
