Our client in South Houston is seeking a highly organized and people-focused Bilingual Onboarding Coordinator to support a seamless and welcoming experience for new hires. This role will coordinate pre-employment activities, onboarding documentation, orientation logistics, system access, and new hire follow-up from offer acceptance through the employee’s first week.
The ideal candidate is detail-oriented, responsive, and comfortable managing multiple priorities while partnering across HR, Recruiting, Payroll, IT, Operations, and hiring managers.
Responsibilities:
- Coordinate the end-to-end onboarding process for assigned new hires, including pre-employment requirements, start-date preparation, orientation scheduling, and first-week follow-up.
- Prepare, collect, review, and track new hire documentation to ensure all required information is accurate, complete, and submitted on time.
- Support background checks, employment verifications, I-9 documentation, policy acknowledgments, and other pre-employment requirements.
- Serve as a primary point of contact for new hires, answering onboarding questions and providing clear, timely, and professional communication throughout the process.
- Partner with HR, Recruiting, Payroll, IT, Operations, and hiring managers to coordinate start dates, equipment, system access, schedules, and position-specific requirements.
- Assist with new hire orientation sessions, onboarding presentations, welcome communications, and related administrative preparation.
- Enter and maintain onboarding and employee information within ADP, applicant tracking systems, employee files, and internal tracking tools.
- Maintain accurate onboarding records, checklists, and employee files while protecting confidential and sensitive information.
- Monitor onboarding progress, proactively identify missing information or potential delays, and elevate issues when necessary.
- Support ongoing improvements to onboarding workflows, standard operating procedures, templates, training materials, and internal resources.
- Provide additional HR and onboarding support as needed.
Qualifications:
- High school diploma or equivalent required; associate or bachelor’s degree in Human Resources, Business Administration, Communications, or a related field preferred.
- 2-3 years of experience in onboarding, human resources, recruiting coordination, employee support, administration, or a related role preferred.
- Working knowledge of onboarding processes, HR administration, employment documentation, employee records, and compliance requirements.
- Experience with HRIS, applicant tracking systems, onboarding platforms, or document management systems preferred.
- Experience with ADP is a plus.
- Proficiency with Microsoft Office, including Outlook, Teams, and Excel.
- Strong organizational skills with exceptional attention to detail and follow-through.
- Ability to manage multiple new hires, priorities, and deadlines in a fast-paced environment.
- Strong written and verbal communication, customer service, problem-solving, and interpersonal skills.
- Ability to handle confidential employee information with professionalism and discretion.
- Collaborative approach with the ability to work effectively across multiple departments and levels of an organization.
- Spanish-speaking candidates are preferred.
