Health Haven, part of Health Haven and Health Synergy Clinical Research, is expanding across Florida to deliver integrated outpatient care and clinical research in a collaborative, patient-centered environment.

The Medical Customer Service Representative will coordinate appointments, support bilingual patients, and help with administrative processes across behavioral health practices. This role requires professionalism, confidentiality, and strong communication in English and Spanish.

Qualifications

• Education: High school diploma or equivalent; associate degree preferred.
• Bilingual: English and Spanish required for professional communication with patients.
• Communication: Excellent verbal and written communication.
• Customer service: Prior experience in customer service or front desk roles.
• Healthcare: Experience in a medical/behavioral health setting preferred.
• HIPAA: Knowledge of privacy and data protection requirements.
• Interpersonal: Strong relationship-building and empathy.
• Organizational: Attention to detail and prioritization in a fast-paced environment.
• Technical: Proficiency with Microsoft Office, EHR, and scheduling software.

Responsabilités

• Coordinate appointments with accuracy and minimize scheduling gaps.
• Communicate with Spanish-speaking and English-speaking patients via phone, email, and other channels.
• Answer calls, respond to inquiries, and route messages to the right teams.
• Maintain patient confidentiality per HIPAA and document interactions.
• Deliver a welcoming, professional patient experience and assist with requests.
• Assist with insurance questions, demographic updates, intake paperwork, and scheduling needs.
• Identify routine issues and escalate complex matters to clinical/administrative staff.
• Follow up with patients for reminders, missing paperwork, and scheduling needs.
• Assist with patient registration, demographics, intake forms, and forms completion.
• Collaborate with front desk, medical assistants, providers, and billing staff.
• Handle additional duties to support daily operations.
