Job summary

Orthodontic Experts is seeking a Patient Service Representative to warmly greet visitors and provide essential front desk support. You will answer calls, manage the front desk, collect patient information, and support clinical staff with administrative tasks to ensure smooth daily operations.

The role requires bilingual Spanish, travel to Aurora and Hillside, and strong customer service and communication skills. Training and a comprehensive benefits package are provided.

Qualifications

• High school diploma or GED required.
• 3 years of customer service experience.
• 2 years of patient service experience.
• Proficient in Microsoft Office Suite.
• Excellent problem solving and de-escalation skills.
• Excellent written and verbal communication skills.
• Bilingual - Spanish.
• Travel to Aurora and Hillside required.

Responsibilities

• Answer all phone calls.
• Listen and return voicemails.
• Check-in new and existing patients and notify clinical staff.
• Collect patient information for new patients.
• Check out patients and collect payments.
• Handle questions and provide information to walk-ins.
• Maintain comm-log with patient/parent communications.
• Review daily clinic schedule and changes.
• Fill open spots two days prior and adjust clinic hours.
• Review bonding approvals and insurance status.
• Explain cancellation policy to patients.
• Print end-of-day reports.
• Maintain reception area cleanliness.
• Check and reply to office emails.
• Verify payments against reports and credit card transactions.
• Call patients with outstanding balances.
• Traveling to another clinic, perform all duties.
• Participate in Marketing events.
• Cash handling.
• Other tasks as assigned.
