Job summary

Quanta Aviation Services (QAS) is seeking a Proposal Coordinator to support the Proposal Manager across active pursuits from RFI through RFPs. You will manage internal meeting coordination, fact-based research, and documentation to enable pricing strategy and final proposal assembly.

This role emphasizes strong organization, attention to deadlines, and proactive gathering of certificates, licenses, and other supporting documents.

Qualifications

• Bachelor's degree or equivalent combination of education and relevant work experience.
• 2+ years of administrative, coordination, or proposal support experience; experience with RFP/proposal processes strongly preferred.
• Strong organizational skills with the ability to manage multiple deadlines across a large pursuit portfolio.
• Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and comfort learning proposal-management tools.
• Excellent written and verbal communication skills; comfortable representing the Proposal Manager in internal meetings.
• Familiarity with the aviation, helicopter services, or utility construction industry is a plus.
• SUCCESS METRICS- Deliverable tracker items close on time, with no last-minute scrambles for certificates or supporting documents.

Responsibilities

• Coordinate internal proposal meetings and kickoffs.
• Attend pre-bid calls, capture key takeaways and action items.
• Maintain shared meeting and action-item logs for active pursuits.
• Own the Proposal Deliverable Tracker and track status.
• Gather fact-based supporting documents like safety certificates and licenses.
• Maintain Intake Register and toolkit documents.
• Coordinate document routing for signatures and reviews.
• Monitor solicitation portals for amendments and Q&A responses and flag time-sensitive items.
