Job summary

Grubbs Automotive in Grapevine, TX is seeking an experienced Office Manager to oversee the dealership's business office and financial operations. You will lead administrative and accounting staff, ensure accurate financial processing, and maintain compliance with dealer policies and regulatory requirements.

This role collaborates closely with the Controller and management to keep deal flow smooth and reporting timely.

Qualifications

• Associate or bachelor's degree in accounting, business administration, or related field.
• 3+ years of office management or accounting leadership in an automotive dealership.
• Familiarity with deal processing, financial reconciliations, and DMV/title procedures preferred.

Responsibilities

• Oversee daily administrative operations of the dealership's business office and ensure smooth workflow.
• Coordinate with management to maximize operational efficiency and maintain compliant records.
• Supervise accounts payable, accounts receivable, payroll, and financial reporting.
• Hire, train, and evaluate administrative and accounting staff.
• Develop and implement office and financial procedures for accuracy and compliance.
• Prepare and distribute financial and operational reports for management.
• Monitor financial data to identify cost-control and efficiency opportunities.
• Ensure compliance with regulations and OEM requirements.
• Assist with customer concerns related to billing, financing, and documentation.
• Oversee front-desk scheduling and staff performance; ensure customer service.
• Maintain accurate recordkeeping for personnel, transactions, and finance docs.
• Support audits and month-end closing as directed.
