Job summary

ACES is seeking a Clinic Operations Manager in Tracy, CA to support clinical staff with scheduling, BI onboarding, and client engagement. You will coordinate onboarding, performance and satisfaction of Behavior Interventionists (BI), partner with HR and Clinical Directors, and oversee front desk operations and facility needs to ensure efficient service delivery.

The role requires strong customer service, organizational skills, and adherence to HIPAA through fast-paced daily deadlines.

Qualifications

• Minimum of a high school diploma.
• Minimum of 4 years of experience in a professional office environment.
• Previous experience in a front desk or administrative support role.
• Strong background in customer service; experience in client-facing roles preferred.
• Demonstrated ability to work independently with minimal supervision.
• Proficient in Microsoft Office Suite and other relevant software, including email, internet applications, databases, and project management tools.
• Excellent verbal and written communication skills.
• Ability to adhere to strict protocols and maintain compliance with HIPAA regulations.
• Comfortable working in a fast-paced environment with daily deadlines.
• Receptive to feedback and adaptable to changing priorities.

Responsibilities

• Scheduling support using established protocols and software to manage session cancellations and rescheduling for in-center clients.
• Collaborate with Clinical Directors to meet prescription fulfillment and coordinate assessment scheduling between assessors and new clients.
• Provide BI onboarding support and coordinate welcome activities, tech setup, and early issue resolution for new BI staff.
• Monitor BI performance, provide feedback, and escalate retention risks to the Clinical Director as needed.
• Oversee daily clinic operations including opening/closing procedures and front desk coverage.
• Manage front desk duties: greeting staff and caregivers, answering phones, sign-in/out, and message relay.
• Maintain a clean, organized, compliant clinic environment; coordinate facility needs and repairs as required.
• Promote center events and coordinate space utilization to maximize client engagement and service delivery.
