Job summary

ACES (Comprehensive Educational Services) seeks a Clinic Operations Manager to elevate autism treatment standards by supporting the clinical staff with administrative functions. The role drives scheduling, BI onboarding, and client engagement to ensure optimal service delivery and prescription fulfillment.

You will coordinate BI staffing needs, onboarding, and performance reviews while collaborating with HR and Clinical Directors.

Qualifications

• Minimum of a high school diploma.
• Minimum of 4 years of experience in a professional office environment.
• Front desk or administrative support experience.
• Customer service experience; client-facing preferred.
• Ability to work independently with minimal supervision.
• Proficient in Microsoft Office Suite and related software.
• Excellent organizational and multitasking skills.
• Professional demeanor and polished appearance.
• Excellent verbal and written communication skills.
• Adherence to HIPAA regulations.
• Comfortable in a fast-paced environment with deadlines.
• Receptive to feedback and adaptable to change.

Responsibilities

• Manage session cancellations and rescheduling for in-center clients.
• Coordinate BI onboarding, performance, and HR collaboration.
• Assist with BI onboarding, tech setup, and first-contact support.
• Monitor BI performance and address issues with the Clinical Director.
• Oversee BI annual reviews and credentialing compliance.
• Serve as front-desk contact for clients and caregivers.
• Promote center events and manage center operations daily.
• Maintain clinic environment, supplies, and safety compliance.
• Greet staff, manage phones, sign-in/out, and mail handling.
• Assist with tours for prospective clients.
