Job summary

Level 4 Transit is seeking an adaptable Assistant Operations Manager to balance office scheduling and dispatch, fleet oversight, and client outreach. You will report to the Operations Manager and help drive efficiency, growth, and driver support.

The role includes hybrid duties across office, field, and on-site operations, with a company vehicle provided for business use and opportunities to contribute to local marketing efforts.

Qualifications

• 1–3 years of experience in transportation dispatch, fleet management, and administrative support.
• Texas driver’s license with clean driving record.
• Strong organizational and communication skills.

Responsibilities

• Oversee daily dispatch operations and optimize routes for efficiency and on-time performance.
• Maintain fleet integrity with inspections and coordinate preventive maintenance.
• Ensure DOT/HOS compliance and maintain driver qualification files.
• Identify and reach out to prospective regional clients and support marketing outreach.
• Serve as backup driver during peak hours or emergencies.

Level 4 Transit is a 5-star Non-Emergency Medical Transportation (NEMT) company that is experiencingtremendous growth! So we are seeking an adaptable, hands-on AssistantOperations Manager to join our leadership team. In this multifaceted role, youwill split your time between office-based scheduling and dispatch operations,local fleet oversight, new client marketing and outreach, and administrativecompliance. You Will also serve as a key backup driver when needed to ensurezero service disruption.

You will report directly to the OperationsManager and play a pivotal role in operational efficiency, client growth, anddriver support.

Key Responsibilities

Scheduling & DispatchOperations

• Oversee daily dispatch operations, optimizing routes for efficiency,safety, and on-time performance.
  
• Manage driver master schedules, shift coverage, meal/rest breakcompliance, and time-off requests.
  
• Monitor real-time GPS tracking and transit software to handle livererouting, traffic delays, and emergency adjustments.
  
• Support dedicated schedulers/dispatchers and serve as point of contactfor field drivers during operational hours.
  

Fleet Management & FieldWork

• Conduct regular physical inspections of fleet vehicles to verifycleanliness, safety gear, and mechanical condition.
  
• Schedule and coordinate preventive maintenance, annual inspections,repairs, and vendor servicing to minimize downtime.
  
• Manage vehicle check-in/check-out logs, fuel card reconciliation, andregistration compliance.
  
• Respond on-site to vehicle breakdowns, accidents, or complex fielddelays as needed.
  

Administrative & ComplianceSupport

• Maintain driver qualification files, Department of Transportation (DOT)compliance records, and Hours of Service (HOS) logs.
  
• Assist with driver recruitment, background checks, initial onboarding,and field road-testing.
  
• Other administrative tasks as the role grows.
  
• Identify and reach out to prospective regional clients (businesses,schools, event planners, healthcare facilities, or logistics partners).
  
• Assist in developing local marketing campaigns, promotional materials,and digital outreach efforts.
  
• Conduct sales presentations, prepare service quotes, and manageonboarding for new corporate accounts.
  
• Maintain and grow relationships with existing clients to encouragerepeat business and account expansion.
  

Backup Driving

• Safely step in as a backup driver during peak hours, unexpectedcall-outs, or emergency coverage.
  

Requirements

Qualifications &Requirements

• Experience: 1-3 years of combined experience in transportation dispatch,fleet management, and administrative support. Prior exposure to marketing,sales, or customer relationship management (CRM) is a strong plus.
  
• Licensing:
  
• Must hold a Texas driver's license.
  
• Clean driving record, clean criminal record, and able to pass a drugscreening.
  
• Complete specific driving and other training/certifications as required.
  
• Technical Skills: Proficiency with dispatch and routing software, CRMtools (e.g., HubSpot, Salesforce, Zoho), and proficient with Microsoft Officeapplications.
  
• Soft Skills: Exceptional organizational ability, strong interpersonaland sales communication, and quick problem-solving skills under pressure.
  
• Physical Requirements: Ability to conduct physical vehicle inspectionsoutdoors in varying weather and push a client of 350 lbs up a wheelchair rampand secure them in the vehicle.
  
• Time Flexibility: Operations runs from 4AM - 7PM and may require some of your attention outside of standard hours including weekends. Management will workout schedule to accommodate points of escalation for the front line team.
  
• W2 role with productivity incentives anticipated to increase pay $5K to $10K per year.
