Job summary

Mesa in Utah is seeking a Dispatch/Operations Support to join our team. The role supports daily dispatch activities, crew paperwork, resource coordination, and operational records to ensure crews and equipment are ready for daily operations.

The ideal candidate is highly organized, reports at 6:30 a.m., and thrives in a fast-paced moving/logistics environment with hybrid office/field coordination.

Qualifications

  • 1–3 years of experience in customer service, dispatch, logistics, or operations support.
  • Strong written and verbal communication; professional phone/email etiquette.
  • Proficient with Google Workspace / Microsoft Office; ability to learn dispatch/CRM systems quickly.
  • Excellent organization and time management in a fast-paced environment.
  • Operate a sit-down 5,000 LB forklift and follow safety procedures.
  • Reliable, punctual, and able to work flexible hours (occasional evenings/weekends).
  • Valid driver’s license and ability to travel to job sites as required.

Responsibilities

  • Manage daily dispatching: assign crews, route planning, and schedule adjustments for moves.
  • Monitor job progress and update stakeholders in real time.
  • Respond to emails, phone messages, and crew requests; provide on-the-spot problem solving.
  • Prepare daily crew paperwork, tickets, route sheets, and dispatch packets.
  • Report to work by 6:30 a.m. daily to support dispatch and readiness.
  • Coordinate truck and crew resources to maximize efficiency and meet ETAs.
  • Enter and maintain dispatch, job, and inventory records in company systems.
  • Track equipment, supplies, and fuel usage; notify manager of shortages or maintenance needs.
  • Escalate operational issues and safety concerns to the Operations Manager when appropriate.
  • Support billing/admin tasks: verify job details, capture required paperwork, and upload documents.
  • Assist with last-minute scheduling changes, cancellations, and emergency customer requests.
  • Ensure warehouse paperwork is completed and turned into operations.
  • Ensure orders arriving from returning crews are properly handled by crews/warehouse.
  • Communicate and cooperate with supervisors and coworkers.
  • Operate and maintain preventative maintenance on vehicles/equipment.
  • Display strong problem solving, organizational and analytical skills.
  • Keep a clean and safe working environment.

This role is responsible for supporting daily dispatch activities, preparing crew paperwork, coordinating resources, managing operational records, and ensuring crews and equipment are ready for successful daily operations. The ideal candidate is highly organized, dependable, able to report to work at 6:30 a.m. daily, and thrives in a fast-paced transportation and logistics environment.

Responsibilities

  • Monitor job progress and update stakeholders (customers, crews, operations manager) in real time
  • Respond quickly to emails, phone messages, and low-level crew requests; provide on-the-spot problem solving
  • Prepare daily crew paperwork, work tickets, route sheets, and dispatch packets to ensure crews are ready prior to departure each morning.
  • Report to work by 6:30 a.m. daily to support crew dispatch, paperwork preparation, and operational readiness.
  • Coordinate truck and crew resources to maximize efficiency and meet ETA commitments
  • Enter and maintain accurate dispatch, job, and inventory records in company systems

Required skills & qualifications

  • Proficient with computers and common software (Google Workspace/Microsoft Office); ability to learn dispatch/CRM systems quickly
  • Excellent organization, time management, and multi-tasking ability in a fast-paced environment
  • Operate a sit down 5,000 LB forklift
  • Problem-solver who stays calm under pressure and makes timely decisions
  • Reliable, punctual, and able to work flexible hours (occasional evenings/weekends/onsite as needed)
  • Valid driver’s license and ability to travel to job sites as required
