Job summary

Boston College is seeking an Advancement Talent Assistant to provide high‑level administrative and operational support to the AVP and the Director of Advancement Talent. You will help recruit, onboard, and develop the 250 UA staff, handling sensitive information with discretion.

The role requires strong scheduling, reporting, and communications skills, with proficiency in Microsoft Office, Google Suite, and CRM databases.

Qualifications

  • Requires high school diploma; a bachelor’s degree is preferred; at least two years of increasingly responsible administrative experience in professional settings.
  • Proficient in Microsoft Office; strong knowledge of Google Suite; familiarity with CRM databases.
  • Willingness to learn new systems; Canva is a plus.
  • Excellent written and verbal communication skills; discretion with confidential information; customer service orientation.
  • Flexibility to work beyond regular hours when needed.

Responsibilities

  • Manage complex scheduling for the AVP, Director, and the AT team.
  • Pull monthly department query reports, maintain and organize team files and records, and provide other reports and briefings as requested.
  • Handle communications & correspondence for the AT team, including monitoring and maintaining the Advancement Talent inbox.
  • Track and reconcile departmental expenses.
  • Schedule candidate interviews and maintain a tracking system for candidate moves management.
  • Prepare and distribute interview materials, candidate communications, and preboarding communications.
  • Support onboarding including welcome communications, materials, and orientation scheduling.
  • Maintain the Advancement Talent Comprehensive Calendar.
  • Coordinate logistics for meetings, professional development programs, and UA-hosted internal events.
  • Support preparation of presentations, reports, and materials for leadership and staff-wide meetings.
  • Help maintain internal communications, RSVP tracking, and materials for professional development programs.
  • Manage the UA Employee Recognition Programs platform.
