Job summary

The Philadelphia School is seeking a Development Operations Manager to build and maintain the operational systems that support meaningful philanthropy, community engagement, and long-term institutional success. You will partner with the Advancement, Finance, and Admissions offices to maintain data integrity and to provide analytics that inform fundraising decisions.

You will manage gift processing and acknowledgments, dashboards, and donor recognition, while supporting stewardship initiatives

Qualifications

• Bachelors degree required.
• 35 years advancement experience in school or non-profit setting.
• Experience administering Veracross or another CRM.
• Excellent data entry, reporting, and accuracy.
• Ability to draft personalized donor communications.
• Strong multitasking and deadline management.
• Professional, collaborative attitude and discretion with confidential information.
• Willingness to attend occasional evening/weekend events.
• Commitment to equity, inclusion, and cultural competency.

Responsibilities

• Develop and manage Veracross as the system of record for development activities, including data standards, campaigns, funds, events, forms, and constituent records.
• Perform data imports, audits, and ongoing database maintenance; train staff on Veracross usage.
• Process charitable gifts, pledges, matching gifts, and stock gifts; ensure timely gift acknowledgments and tax receipts; lead monthly finance reconciliation; prepare audits documentation.
• Create dashboards, reports, and analyses to inform fundraising strategy; generate donor lists, segmentation reports, and campaign performance reports; prepare annual donor recognition lists.
• Coordinate donor acknowledgment workflows, donor recognition, stewardship communications, and wealth screening support.
• Manage event registration systems and attendee tracking; prepare reports, seating charts, name badges, and gift processing; support logistics for Advancement events.
• Collaborate with Finance, Admissions, and Communications to ensure accurate data and coordinated workflows; recommend process improvements; participate in school-wide initiatives; provide back-up front desk support.
