Ideal candidates have strong organizational skills, effective communication, and the ability to manage multiple referrals while maintaining confidentiality in a fast-paced healthcare setting.

Qualifications

  • High school diploma or equivalent required.
  • Experience in administrative, admissions, healthcare, or skilled nursing preferred.
  • Knowledge of Medicare/Medicaid and insurance processes is beneficial.
  • Strong computer skills and ability to learn health records and admissions systems.
  • Excellent organizational and time-management skills.

Admissions Assistant

The Villages Rehab is looking an outgoing individual to join their Team as an Admissions Assistant!

Must be able to work every other weekends


The Admissions Assistant supports the Admissions Department in coordinating the admission process for residents entering the skilled nursing facility. This position assists with referrals, documentation, communication, insurance verification, resident and family inquiries, and preparation for new admissions. The Admissions Assistant works closely with the Admissions Director, nursing, social services, business office, therapy, and other departments to help provide an organized and welcoming admission experience.

Essential Duties and Responsibilities
  • Assist the Admissions Director/Coordinator with the daily admissions process and department operations.

  • Receive and assist with processing referrals from hospitals, physicians, case managers, families, and other referral sources.

  • Gather required clinical, demographic, financial, and insurance information for prospective residents.

  • Assist with verifying insurance coverage, benefits, authorizations, and payer information as assigned.

  • Maintain communication with hospitals, discharge planners, case managers, residents, families, and referral sources regarding admission status.

  • Assist with coordinating admission dates, transportation information, room assignments, and arrival details.

  • Ensure required admission paperwork and supporting documentation are obtained and properly organized.

  • Prepare admission packets and assist residents and responsible parties with completion of required documents.

  • Enter and maintain accurate resident and referral information in applicable electronic systems.

  • Track referrals, admissions, denials, pending cases, and other admission-related activity as directed.

  • Notify appropriate facility departments of upcoming and confirmed admissions.

  • Coordinate with Nursing, Social Services, Therapy, Dietary, Environmental Services, Business Office, and other departments to help ensure readiness for new residents.

  • Greet new residents and families and help provide a positive and welcoming admission experience.

  • Respond professionally and promptly to telephone calls, emails, and inquiries regarding admissions.

  • Maintain confidentiality of resident, applicant, and facility information in accordance with HIPAA and facility policies.

  • Assist with maintaining admission records, reports, census information, and departmental files.

  • Provide administrative support to the Admissions Director/Coordinator as needed.

  • Participate in facility meetings, training, and quality improvement activities as assigned.

  • Follow facility policies and procedures and applicable federal and Florida requirements.

  • Perform other duties as assigned.

Qualifications
  • High school diploma or equivalent required.

  • Previous administrative, admissions, healthcare, customer service, or skilled nursing experience preferred.

  • Experience working in a skilled nursing facility, long-term care facility, hospital, rehabilitation center, or other healthcare environment preferred.

  • Knowledge of Medicare, Medicaid, managed care, and commercial insurance processes is beneficial.

  • Strong computer skills and ability to learn electronic health record, referral, and admissions systems.

  • Excellent organizational and time-management skills.

  • Strong verbal and written communication skills.

  • Ability to manage multiple referrals and priorities while maintaining accuracy and attention to detail.

  • Professional and compassionate approach when interacting with residents, families, referral sources, and healthcare professionals.

  • Ability to maintain confidentiality and appropriately handle protected health information.

Knowledge, Skills, and Abilities

The successful candidate should demonstrate strong customer service skills, attention to detail, effective follow-up, and the ability to work collaboratively with an interdisciplinary team. The Admissions Assistant must be able to communicate effectively with individuals from a variety of backgrounds and remain organized in a fast-paced healthcare environment.
