Admissions Assistant

Terrace Health and Rehabilitation Center is looking for an outgoing individual to join their Team!

Position Summary

The Admissions Assistant supports the Admissions Department in coordinating the admission process for residents entering the skilled nursing facility. This position assists with referral management, communication with residents and families, collection and verification of required documentation, and coordination with facility departments to help ensure a smooth and welcoming admission experience.

The Admissions Assistant serves as an important point of contact for prospective residents, families, hospitals, referral sources, and internal team members while maintaining professionalism, confidentiality, and excellent customer service.

Essential Duties and Responsibilities
  • Assist the Admissions Director/Coordinator with the daily admissions process.
  • Receive and help process referrals from hospitals, physicians, assisted living communities, home health agencies, and other referral sources.
  • Gather required clinical, demographic, financial, insurance, and admission documentation.
  • Assist with verifying that required documentation is complete prior to admission.
  • Communicate professionally with prospective residents, families, responsible parties, referral sources, and facility staff.
  • Coordinate admission dates and arrival information with Nursing, Business Office, Social Services, Therapy, Dietary, and other appropriate departments.
  • Prepare admission packets and assist residents and/or responsible parties with completing required paperwork.
  • Maintain accurate admission records and update applicable electronic systems and tracking logs.
  • Assist with insurance verification and authorization processes as assigned and within the scope of the position.
  • Follow up with hospitals and referral sources regarding missing or additional documentation.
  • Provide tours of the facility to prospective residents and families as requested.
  • Assist with maintaining communication with prospective residents and families throughout the referral and admission process.
  • Help ensure resident rooms and appropriate departments are prepared and notified prior to scheduled admissions.
  • Provide a welcoming experience for residents and families upon arrival.
  • Maintain confidentiality of resident and applicant information in accordance with HIPAA and facility policies.
  • Assist with census tracking, referral logs, admission reports, and other departmental documentation.
  • Support marketing and community outreach activities as directed.
  • Participate in facility meetings, training programs, and quality improvement initiatives as appropriate.
  • Maintain professional relationships with hospitals, physicians, referral sources, residents, families, and facility team members.
  • Perform other duties as assigned by the Admissions Director, Administrator, or designee.
Qualifications
  • High school diploma or equivalent required.
  • Previous experience in healthcare, skilled nursing, long-term care, admissions, customer service, medical office administration, or a related setting preferred.
  • Knowledge of skilled nursing admissions, Medicare, Medicaid, managed care, and insurance authorization processes preferred.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal skills.
  • Ability to manage multiple priorities in a fast-paced healthcare environment.
  • Ability to maintain confidentiality and appropriately handle sensitive resident information.
  • Proficiency with computers, electronic health records, Microsoft Office, and/or healthcare admissions software preferred.
  • Must meet all applicable facility, state, and federal employment requirements.
Knowledge, Skills, and Abilities
  • Ability to communicate compassionately and professionally with residents and families during transitions of care.
  • Strong attention to detail and ability to maintain accurate records.
  • Ability to work effectively as part of an interdisciplinary team.
  • Ability to prioritize referrals, admissions, and time-sensitive documentation.
  • Professional telephone, email, and in-person communication skills.
  • Ability to establish positive working relationships with referral sources and facility departments.
  • Understanding of resident privacy, confidentiality, and HIPAA requirements.
Physical Requirements

The employee must be able to perform the essential functions of the position with or without reasonable accommodation. Duties may require prolonged periods of sitting, standing, walking, computer use, telephone communication, and occasional lifting or carrying of office materials.

Working Conditions

Work is primarily performed within a skilled nursing and rehabilitation facility. The employee may have regular interaction with residents, families, healthcare professionals, visitors, and outside referral sources and may be exposed to conditions normally associated with a healthcare environment.

The Admissions Assistant is expected to perform all duties in accordance with facility policies and procedures and applicable federal and Florida requirements governing skilled nursing facilities, resident privacy, confidentiality, and nondiscrimination.
