Job Summary

This position provides invaluable support for the Languages, Humanities, and Information Studies Division to the chair, faculty, students, and staff while managing a range of tasks and responsibilities. This position performs a wide variety of administrative duties within an academic division requiring coordination of activities on and off campus with frequent contact with a diverse population requiring independent decision-making and specialized knowledge of the assigned area, in addition to relevant policies and procedures. This position requires a proactive, organized, and adaptable individual who thrives in a dynamic academic environment. This position requires use of multiple online platforms/systems such as FMS, ERS, Tableau, HCM, SIS, Google Calendar/Drive/Sheets/Slides/Docs, 25-live reservation system, etc. which are used daily to accomplish division directives and goals. In addition to providing logistical support for events and meetings, this position also assists with the coordination, maintenance, troubleshooting and monitoring of multiple academic term class schedules.

The ideal candidate for this position possesses effective oral and written communication skills, exceptional customer service, and technology proficiency.

Essential Functions

30% - Provides administrative support related to scheduling meetings and related office services for multiple departments and programs. Provides coordination of activities and administrative support for the class schedule, events, projects, programs, and services. Prepares and disseminates information, both internally and externally, regarding policy and procedures, the class schedule, events, and program information. Provides technical assistance and specialized administrative office support activities related to area of assignment. Manages and monitors office inventory, equipment, and maintenance services; orders supplies and initiates work order requests when needed.

20% Serves as the point of contact for inquiries and requests for information and services for students and faculty, referring requests appropriately when needed. Offers customer support of assigned systems and service areas. Lends support to other divisions and academic areas as necessary.

20% - Researches, gathers, compiles, and reviews data and information in support of assigned function, program, project, or support area. Designs and formats complex documents. Creates documents, correspondences, reports, meeting minutes, and/or other communication materials. Prepares and maintains schedules, coordinates calendars, and plans travel arrangements and itineraries.

10% - Monitors and tracks budgets, funding and expenditures; assists with budget preparation.

10% - Oversees the maintenance of files, records, database information, and documentation related to assigned areas according to established procedures and participates in the development of new processes and procedures when appropriate.

10% - Performs other duties as assigned

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

1. One year of full-time, relevant MCCCD experience within the previous two years.

2. Experience working in an administrative support role.

3. Experience working with an online information system or database management system.

4. Experience maintaining personnel and financial records.

5. Experience coordinating complex projects/tasks/events for several varied departments.

6. Ability to work effectively with a diverse group of students, faculty, staff, or community members.

7. Excellent written communication skills, as evidenced by a cover letter detailing how prior experience, knowledge, and education meet the minimum and desired qualifications for this position.

8. Experience within other community college systems or higher education institutions is valued and may be considered in addition to MCCCD experience. External candidates are encouraged to apply.
