Status: Full-Time Hourly FLSA Classification: Non-Exempt

Summary of Position: Administrative Manager plays a pivotal role in supporting all office operations for the Philadelphia and Delaware County/Delco Program. This position involves acting as the primary receptionist, preparing weekly reports and payroll documentation, and maintaining confidential participant and personnel records. The Administrative Manager will thrive in a fast-paced, demanding environment, consistently demonstrating professionalism with staff, families, and service providers.

Key Responsibilities:

  1. Provide comprehensive office support to ensure smooth program operations.
  2. Serve as office receptionist, managing phone calls and visitor inquiries.
  3. Prepare and process weekly paperwork, including payroll documentation, with attention to accuracy and deadlines.
  4. Maintain confidential participant and personnel records.
  5. Foster positive relationships with staff, families, and community service providers.

Qualifications/Requirements:

  1. Associate degree preferred; high school diploma or GED is required.
  2. Prior experience in an office environment.
  3. Proficient in Microsoft Office 365 (Word, Excel, etc.).
  4. Familiarity with EHR (Electronic Health Records) and electronic data systems/HRIS is a plus.
  5. Understanding of insurance and third-party billing processes is a plus.
  6. Excellent verbal and written communication skills.
  7. Reliable transportation, valid driver's license, and current auto insurance required.
  8. Bilingual/Spanish is a plus.
