TITLE: Administration Manager
DEPARTMENT: Admin
REPORTS TO: Executive Director
FLSA STATUS: Full-time, Exempt
Summary: To provide the agency with operational support in the areas of Human Resources, IT, Facilities Management, and Office Administration
Essential Duties: Essential job duties for this position include the following items. Other duties must be performed as assigned or required.
To oversee best practices in human resources, IT, facilities and general administrative management that ensure achievement of organizational goals.
Human Resources Management
- Develop and manage human resource procedures;
- Maintain staff files in accordance with legal requirements and best practices;
- Organize standard training schedules;
- Support managers in recruitment and retention processes;
- Oversee benefits and compensation management;
- Manage hiring, on-boarding and off-boarding staff;
- Manage all unemployment paperwork, worker's compensation, etc.
- Manage and continue ongoing rollout of Isolved Modules
Administration Management
General Office Management
- Develop and manage Admin budget in conjunction with Finance Manager and Ex. Director;
- Plan and monitor budgets, secure estimates, negotiate prices with suppliers, review and monitor contracts and billing;
- Responsible for planning, monitoring and managing administrative procedures, including the development of procedure manuals, that ensure compliance with all agency policies and government regulations;
- Develop a records management system and maintain agency records and filing systems, including e-filing;
- Develop and monitor risk management and emergency management plans;
- Acquire, store and manage supplies and inventory; and,
- Dispose of or oversee disposal of surplus or unclaimed property.
Information Technology
- Establish and oversee contracted services, serving as staff liaison to external IT management contractor; help to facilitate communication between staff having IT issues and IT vendor until solution is reached.
- Responsible for planning, monitoring and managing information technology systems, including the development of procedure manuals;
- Responsible for procuring computer equipment and software and maintaining inventory system; and,
- Work closely with IT service provider to create and maintain preventative maintenance and replacement schedules of computer hardware and software.
Facilities Management
- Responsible for monitoring and managing safety, security and maintenance of physical properties, including the development of procedure manuals;
- Responsible for establishing and monitoring contracted services (or supervising in-house staff) for building and mechanical systems maintenance, housekeeping and grounds;
- Responsible for developing and maintaining preventative maintenance and capital expense needs and budgets;
- Serve as liaison to "landlords" and volunteer taskforce as needed; and,

Education/Experience
- 2-4 years' experience in administrative and/or operations management
- 4-year degree, preferred
- Previous experience in human resource and operations management;
- Successful track record in setting priorities;
- Keen analytic, organization and problem-solving skills which support and enable sound decision making;
- Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders;
- Multi-tasker with the ability to wear many hats in a fast-paced environment; and,
- Personal qualities of integrity, credibility, and dedication to the mission of ProJeCt of Easton, Inc.
Knowledge And Skills
- Fluent English with excellent writing and verbal communication skills;
- Ability to organize and plan work (long and short range) and to establish and meet timelines
- Ability to problem solve and work independently
- Ability to follow directions and attend to detail (read for critical detail)
- Ability to use software, including Microsoft Suite with excellent Excel ability and other databases;
- Ability to think analytically and to assess cost/benefit
- Ability to accept supervision and redirection;
- Ability to prepare reports and presentations;
- General knowledge of office equipment, computer software and hardware, and a willingness to develop a greater level of knowledge in this respect;
- Strong administrative, human resource and operations skills; and,
- Strong organizational and leadership
