Job summary

The University of Nebraska at Omaha seeks an Administrative Coordinator for the CAS Deans Office and the Schwalb Center. You will provide administrative, financial, and HR/payroll support, helping keep daily operations secure and efficient.

Position Summary

As an employee of the Dean’s Office in the College of Arts and Sciences, this position provides comprehensive administrative, financial, and HR/payroll support for the Schwalb Center and the Dean’s Office. This position supports daily operations, coordinates events and meetings, manages budget-related activities for the Schwalb Center, and assists the CAS Business Manager with personnel and payroll processes. The role requires strong organizational skills, attention to detail, and the ability to handle confidential information. This position also requires use of independent judgment and knowledge college and university policies.

Job Duties

Responsibility Area:

Responsibility Area: Schwalb Center Administrative Support & Events Coordination

Duties:

  • Serve as primary point of contact for phone, email, and in-person inquires
  • Manage incoming and outgoing correspondence, including mail distribution
  • Maintain confidential records through retrieving, retaining, storing, compiling, coding, updating, distributing, and destroying files as appropriate (electronic and paper)
  • Coordinate office operations, including supplies, equipment maintenance, and work orders
  • Maintain Center calendars and schedules
  • Assist with research activities for the Center
  • Coordinate meetings, programs, and events (space reservations, logistics, catering, speakers, and materials)
  • Prepare and distribute event communications and promotional materials, in conjunction with the Marketing and Communications Manager
  • Maintain databases, contact lists, and administrative systems
  • Support website updates and social media content as needed

  • Monitor, reconcile, and track Center budgets and expenditures
  • Prepare financial documentation and reports for review and approval
  • Process expenses reimbursements, deposits, and financial transactions
  • Coordinate travel arrangements and related documentation
  • Manage honoraria payments and supporting documentation
  • Track memberships, subscriptions, and related payments
  • Assist and monitor grants as needed

  • Assist with part-time instruction payment processing
  • Assist with reappointment letters and employment -related correspondence
  • Review and verify bi-weekly and monthly payroll for accuracy
  • Track employee appointments, contract terms, and renewal deadlines
  • Maintain confidential personnel records in compliance with university policies
  • Assist with the coordination of onboarding and offboarding processes
