Role Title: Administrative Assistant
Reports to: Pastor of Preaching and Leadership
Estimated Weekly Hours: 10 Hours
Work Arrangement: Hybrid (Remote & On-Site)
Purpose
The Administrative Assistant exists to support the operational and relational health of Northside Fellowship by maintaining accurate financial records, managing communications, and executing administrative tasks that free pastors and staff to focus on ministry.
Qualifications
- Demonstrated experience with bookkeeping, financial administration, or church administration
- Proficiency with spreadsheet software (Excel or Google Sheets) and comfort learning church management platforms (Planning Center)
- Strong written and verbal communication skills
- High attention to detail and accuracy, particularly with financial records
- Discretion with confidential information, including giving records and financial data
- Self-directed and able to manage tasks independently
- Membership at Northside Fellowship, or willingness to pursue membership upon employment
Primary Outcomes (Big-Picture Success)
- Finances: Financial processes and documents are accurate, timely, and transparent, supporting wise stewardship and trust within the church.
- Communications: Northside’s pastoral and lay leadership are well-represented through timely, professional external and internal communications.
- General Administrative Support: Northside’s pastors, staff members, and lay leaders are supported through efficient and professional communication and execution of assigned tasks.
Responsibilities (Detailed Tasks)
Financial Administration
- Manage and execute Northside Fellowship’s financial administrative needs
- Process and cut checks
- Monthly credit card reconciliations and payments
- Monthly Miller Management financial report
- Maintain updated operating checking ledger & Planning Center records
- Make miscellaneous purchases and manage subscriptions
- Serve as point of contact with US Bank
- Prepare and file tax documentation
- Coordinate Northside’s treasurer team (train new treasurers and schedule on-going counting and financial review tasks)
Communications & Scheduling
- Manage Northside Fellowship’s email inbox, phone, and calendar
- Assist ministry team leaders with Planning Center scheduling as needed
General Administrative Support
- Prepare and maintain documents for members meetings, church events, and other institutional partnerships
- Other administrative duties as assigned
