Status: Part-time, non-exempt, approximately 20 hours per week
Schedule: Monday–Thursday, 9:00 a.m.–2:00 p.m., with occasional flexibility for special events
Reports to: Senior Pastor
Compensation: $25,000 annually, PTO and Flex Time.
Position Summary
The Administrative Assistant serves as the organizational hub of the church office, supporting the pastor, staff, and lay leadership so that the congregation’s ministries run smoothly. This person is often the first point of contact for members, visitors, and the wider community, and so plays an important role in extending the hospitality and welcome of Pleasant Hill UMC.
Key Responsibilities
Office Administration
- Answer phones, respond to emails, and greet visitors with warmth and professionalism.
- Maintain the church calendar, including building use, room reservations, and outside group scheduling in consultation with the building manager.
- Manage office supplies, equipment, and vendor contacts (copier, phone, internet, etc.).
- Process incoming and outgoing mail.
Worship and Communications Support
- Prepare the weekly worship bulletin in coordination with the pastor and worship director.
- Assist with email announcements, website updates, and social media posts as assigned.
- Maintain prayer lists and relay pastoral care needs to the pastor promptly.
Records and Reporting
- Maintain the church membership database, including baptisms, confirmations, marriages, transfers, and deaths.
- Record weekly metrics and assist with year-end statistical reports for the Annual Conference.
- Help prepare materials for Church Council, Charge Conference, and other committee meetings.
- Keep church records organized and securely filed.
In coordination with the Treasurer and Financial Chairperson:
- Assist with data entry of contributions and preparation of giving statements.
- Route invoices and reimbursement requests for approval.
Ministry Support
- Assist ministry teams and committees with scheduling, copies, mailings, and communication.
- Support preparations for special services (Christmas, Holy Week, funerals, weddings).
- Coordinate with volunteers who help in the office.
Qualifications
Required
- High school diploma or equivalent; some college or administrative training preferred.
- At least two years of office or administrative experience.
- Proficiency with Microsoft Office or Google Workspace, email, and basic desktop publishing.
- Strong organizational skills and attention to detail.
- Ability to maintain strict confidentiality regarding pastoral, personnel, and financial matters.
- Ability to work independently and manage multiple priorities.
Preferred
- Experience with church management software (e.g., Realm/ACS).
- Familiarity with the United Methodist Church and its structures.
- Experience with Canva (or other graphic design software), website platforms, or social media management.
Personal Qualities
The ideal candidate is friendly, patient, and service-minded; comfortable interacting with people of all ages; dependable and discreet; and supportive of the mission and ministry of Pleasant Hill UMC. Church membership is not required, though the candidate should be comfortable working in a Christian ministry setting.
Conditions of Employment
- Successful completion of a background check, in accordance with the church’s Safe Sanctuaries policy.
- A 90-day introductory period, followed by an annual performance review conducted by the pastor and SPRC.
