Responsibilities

  • Research, locate, compile, and organize information for reports and analyses.
  • Prepare and monitor budgets, grant allocations, and financial documents.
  • Maintain employee files and assist with HR and payroll transactions.
  • Coordinate with HR and Payroll to resolve issues and ensure compliance.
  • Plan and coordinate meetings, conferences, seminars, and events.
  • Prepare materials, transcribe minutes, and distribute documentation.
  • Investigate and resolve administrative and operational issues.
  • Review and organize materials for management approval.
  • Maintain office supplies and coordinate purchasing and vendor relations.
  • Track vendor contracts and renewals.
  • Serve as liaison with internal departments and external partners.
  • Assist with grant applications, survey preparations, and special projects.
  • Arrange travel, prepare expense reports and reimbursements.
  • Manage incoming mail, calls, and correspondence.
  • Schedule patient appointments and referrals; maintain billing records.

Administrative Assistant II

Location: New York, NY 10029

Schedule: Monday–Friday, 9:00 AM – 5:00 PM

Pay Rate: $21–$22/hour

Position Summary

Seeking an experienced Administrative Assistant to provide comprehensive administrative and operational support within a healthcare/academic environment. The ideal candidate will possess strong organizational, communication, and problem-solving skills and be able to manage multiple priorities effectively.

Responsibilities

  • Maintain office supplies and inventory; coordinate purchasing and vendor relations.
  • Track vendor contracts and renewals.
  • Serve as a liaison with internal departments and external partners.
  • Assist with grant applications, survey preparations, and special projects.
  • Arrange travel accommodations and prepare expense reports and reimbursements.
  • Manage incoming mail, phone calls, and correspondence.
  • Schedule patient appointments, referrals, special testing, and maintain billing records.
  • Perform other duties as assigned.
