Job summary

Services for the UnderServed (S:US) in New York is seeking an Administrative Assistant to be the first point of contact for our program. In this role you will perform clerical duties, engage with program participants, and support HIPAA-compliant information handling.

Responsibilities include coordinating the office calendar, handling communications, data entry in Excel and EHR systems, and preparing documents.

Qualifications

  • High School Diploma or equivalent required.
  • Minimum of one year of experience in an administrative setting.
  • Some knowledge/experience in the social service or related field is preferred.
  • Computer literate in Microsoft Office (Word, Excel, Outlook).

  • Arrange, schedule, and coordinate the office calendar.
  • Prepare and edit communications, presentations, and other documents.
  • Data entry into Excel and EHR systems; maintain accurate records.

Salary: USD $35,000.00/Yr. – USD $40,000.00/Yr.

Position Overview

The Administrative Assistant will be the first point of contact for our program. In addition to clerical duties, you will engage with and assist program participants we serve. As a member of S:US you are committed to integrity, treating people consistently, honestly, and fairly to help them achieve their own goals and the agency goals.

Responsibilities
  • Perform general clerical duties including photocopying, faxing, mailing, filing, and arranging for deliveries.
  • Exercise discretion in handling sensitive information as required by HIPAA and agency guidelines.
  • Handle internal and external communications via phone, email, and written correspondence.
  • Manage the phone system with multiple lines.
  • Coordinate with internal and external stakeholders including staff, clients, visitors, and vendors.
  • Arrange, schedule, and coordinate office calendar.
  • Prepare and edit communications, presentations, and other documents.
  • Database management including data entry into Excel and Electronic Health Records (EHR) systems.
  • File and retrieve documents and reference materials.
  • Provide timely, accurate, and clear documentation according to established policies and procedures.
  • Respond to demands by meeting deadlines and handling emergencies as needed.
  • Respond to consumer needs promptly, accurately, and with courtesy and respect.
  • Represent the organization in a positive and appropriate manner to outside resources.
  • Support the mission and values of S:US and address behavior that undermines group effectiveness or is inconsistent with core values.
  • Perform additional duties as assigned.
Qualifications
  • Required Education and Experience
  • High School Diploma or equivalent required.
  • Minimum of one year of experience in an administrative setting.

  • Computer literate in Microsoft Office (Word, Excel, Outlook).
  • Preferred Qualifications & Skills
  • College or continuing education preferred.
  • Bilingual English/Spanish speaking preferred.
