Job summary

Delaware County Community College (DCCC) is seeking an Administrative Assistant for the Career and Counseling Center to support faculty and staff and assist students and community members. Job description

Delaware County Community College (DCCC), located outside of the Philadelphia Metro area, is looking for a dedicated and dynamicAdministrative Assistantto join our team of higher education professionals who are committed to student success.

The Career & Counseling Administrative Assistant will be responsible for following and carrying out established processes and procedures in the Career and Counseling Center. Provides administrative support to all department faculty and staff. Primary tasks include answering all incoming calls, greeting students at the front reception desk, scheduling appointments, coordinating Career and Counseling events and meetings, and working collaboratively with staffing special projects.

This position acts as a liaison between the Career and Counseling Center and all other College sites, offices and departments, students, faculty and staff and the community.

  1. Provides administrative support for the Dean of Students; managing the Dreamkeepers Grant Fund and Emergency Therapy fund
  2. Provides support for the many processes of the Center, including but not limited to the advising, transfer, career, and personal counseling services offered to students and in some cases community members.
  3. Welcomes and assists students and visitors as they enter the Career and Counseling Center.
  4. Administrative tasks such as answering phones, and schedulingappointments.
  5. Uses Banner, Early Alert System, Adobe, Zoom, Google Drive, and MS Office suite of products in order to maintain office efficiency and productivity.
  6. Helps coordinate general office operations in theCenter.
  7. Maintains accurate and current filingsystem.
  8. Provide timely and accurate responses and information to prospective and current students and other visitors, faculty and staff.
  9. Responsible for coordinating visits to the Center for students, faculty, andstaff.
  10. Assists with event set up (i.e., Career Fairs, outreach tabling, and registration days/weeks);Zoom video conferencing, chat support as required, and other Center related activities.
  11. ResponsiblefororderingmaterialsforCenterservicesandpreparingpurchase requisitions.
  12. Provides backup or relief for other positions with in the department as assigned.
  13. Responsible for mail distribution in the area, as well as directing out-going mail to appropriate departments throughout the College.
  14. Duplicates and collates materials asrequired.
  15. Acts as a resource and referral to students, staff, and faculty while also being a liaison to other College offices.
  16. Secures and maintains confidential materials related to personnel and students within the department.
  17. Assists with mail merges related to student academic status and other special projects.
  18. Assists with duties related to our early alert system, including dataentry.
  19. Perform other duties as assigned.

The successful candidate must be an engaging, effective, innovative, dynamic collaborator who will have demonstrated knowledge of best practices associated with administrative support, and customer service. This individual will have access to sensitive student and community member information and is expected to handle such information within confidential information guidelines and with integrity and professionalism. The successful candidate will also actively participate in creating an environment that encourages, models, embraces, and incorporates diverse thoughts and perspectives of all individuals of various backgrounds, ideas, and perspectives to foster an all-inclusive atmosphere and drive results.

Qualified candidates will have a minimum of three (3) years of administrative/office management related experience, technical training, or equivalent combination of education & experience. Prior related experience in an educational setting is preferred. High School diploma or equivalent required; Associates degree from an accredited institution or equivalent combination of education, administrative experience, or technical training is preferred.
