Job description

Are you someone who follows up, notices a missing detail and makes sure people have the information they need? We’re hiring an Administrative Assistant in Brownsville to bring that approach to our daily office work.

You’ll help organize schedules, prepare documents and keep records current so colleagues can move forward with accurate information. This position offers a practical opportunity to build office experience, with training on our systems and support while you learn.

Previous administrative experience is helpful, but we also welcome candidates bringing transferable skills from retail, hospitality, education, volunteering or other work.

What you’ll help organize
  • Update shared calendars, arrange meetings and communicate schedule changes.
  • Prepare emails, meeting notes, forms and routine business documents.
  • Enter information into spreadsheets and check records for missing or inconsistent details.
  • Track incoming requests, follow up on outstanding actions and keep colleagues informed.
  • Maintain organized digital files so documents are easy to locate.
  • Monitor office supplies and help coordinate routine orders and deliveries.

Some tasks will need a quick response; others will require time to check the details. You’ll learn how to recognize priorities, ask useful questions and flag anything that needs a manager’s attention.

A successful day means people know what is happening, records reflect the latest information and agreed follow-ups have been completed.

Support as you settle in
  • Paid training: Learn the office systems, document standards and everyday processes used in the role.
  • A consistent weekday schedule: Plan around regular Monday-to-Friday working.
  • Guidance from colleagues: Receive feedback and help when an unfamiliar request comes up.
  • Room to build your skills: Develop experience in scheduling, reporting and coordination, with additional responsibilities introduced as you become ready.
The experience and habits that matter

You should be comfortable writing clear emails, using basic spreadsheets and learning new software. Familiarity with Microsoft Office or Google Workspace is useful.

We’re looking for someone who checks their work, handles confidential information carefully and follows through on commitments. Being organized matters, but so does communicating when a deadline or priority changes.

You do not need a management background or a particular degree. Examples from work, school or community activities can demonstrate the skills we need.

Spanish and English are helpful, but not required.

This role is based on-site in Brownsville, so you’ll need to be available to work from the office throughout the scheduled week.
