Job summary

Our client in Beaverton, OR is seeking an Administrative Assistant to provide high-level support to multiple senior leaders in a fast-paced corporate environment. You will manage calendars, coordinate travel, organize events, and prepare expense reports while maintaining confidentiality.

Qualifications

  • Bachelor's degree preferred but not required.

Responsibilities

  • Manage complex calendars, schedule meetings, and resolve scheduling conflicts using Microsoft Outlook.
  • Coordinate domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Plan and organize meetings, offsites, team events, and leadership sessions, including logistics and vendor coordination.
  • Prepare and process expense reports, purchase orders, invoices, and budget-related documentation using Coupa, Concur, or similar systems.
  • Create, edit, and format presentations, reports, organizational charts, meeting agendas, and executive communications.
  • Support budget tracking, purchase order management, and administrative reporting.
  • Coordinate workspace moves, equipment requests, and office logistics with internal partners.
  • Assist with special projects by tracking deliverables, timelines, and project milestones.
  • Serve as the primary point of contact for administrative requests and provide support across multiple leadership teams.
  • Maintain highly confidential information while communicating effectively with senior executives and cross-functional stakeholders.

Our client, a leading global sportswear company, is seeking an Administrative Assistant.

Title: Administrative Assistant

Location: Beaverton, OR

Duration: 9 months (07/27/2026 – 04/16/2027)

Pay Range: $22-27/hr. on W2

Job Description:

Provide high-level administrative support to multiple senior leaders within a fast-paced corporate environment. Manage complex calendars, coordinate meetings and travel, organize events, prepare expense reports, and support daily business operations. Partner with cross-functional teams to ensure executive priorities are executed efficiently while maintaining confidentiality and professionalism.

This role supports senior leadership across Human Resources and Talent functions and requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment. The ideal candidate is proactive, adaptable, and experienced supporting executive-level leaders.

Job Functions:

Skills/Abilities:

  • Strong proficiency with Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint.
  • Experience with calendar management, executive scheduling, and event coordination.
  • Familiarity with expense reporting platforms such as Coupa or Concur.
  • Exceptional organizational, multitasking, and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently while managing multiple priorities in a fast-paced environment.
  • High attention to detail with the ability to handle confidential information professionally.
  • Experience with Microsoft Teams, Zoom, Keynote, ChatGPT, or Microsoft Copilot is a plus.

Experience:

  • 5+ years of executive or senior administrative support experience.
  • Experience supporting senior directors or executive leadership preferred.
  • Previous experience tracking budgets, processing purchase orders, and coordinating corporate events is highly preferred.
  • Bachelor's degree preferred but not required.
  • Previous experience in a large corporate environment is a plus.
