Job summary

Gallo Mechanical LLC is seeking an Accounts Receivable Specialist to support cash flow through accurate processing of cash receipts, applications, and collections. You will work under the Cash Manager to ensure timely payments and accurate aging, while maintaining clear communication with customers.

Qualifications

• Associate's or Bachelor's degree preferred; equivalent work experience considered.
• Minimum 2+ years of AR, collections, or general accounting experience, preferably in construction.
• Working knowledge of cash application, retainage, and progress billing/pay applications.
• Strong interpersonal and communication skills; comfortable contacting customers by phone and email.
• Proficiency with accounting software (Vista, SAP, NetSuite) and Excel; ability to manage multiple priorities.

Responsibilities

• Assist with customer enrollment in ACH, wire, credit card, and other electronic payment options.
• Enter and maintain customer payment and remittance information.
• Monitor portals for payment status and remittance details; encourage electronic payments.
• Log and monitor daily incoming payments; prepare deposit support.
• Enter and monitor cash receipts in the accounting system; apply payments to invoices and credits.
• Research unapplied or short payments and coordinate with customers to resolve.
• Escalate unresponsive accounts to the Cash Manager; assist with month-end close and reports.
• Maintain organized records for collections, cash receipts, and customer payment setup.
