Job summary

Responsibilities

• Invoice Management: Prepare and send invoices to clients promptly, ensuring accuracy and contractual terms.
• Cash Application: Apply customer payments accurately and timely.
• Payment Collection: Monitor and follow up on outstanding accounts receivable.
• Account Reconciliation: Reconcile AR ledger and postings.
• Dispute Resolution: Investigate and resolve billing discrepancies.
• Reporting: Prepare regular AR reports for management.
• Client Communication: Maintain relationships with clients regarding their accounts.
• Compliance: Ensure adherence to company policies and regulations; update procedures as needed.
• State Sales Tax: Ensure correct sales tax on invoices.
• Auditing: Assist with internal/external audits with necessary documentation.
• Other duties as assigned.

Job Description

Role: Accounts Receivable Specialist

The MIH team consists of experienced industry-leading professionals, focused on logistical, energy and cost-effective solutions to our clients. We are currently looking for a Accounts Receivable Specialist to join our team!

Responsibilities

• Invoice Management: Prepare and send invoices to clients promptly, ensuring accuracy and compliance with contractual terms.
• Cash Application: Apply customer payments accurately and timely.
• Payment Collection: Monitor and follow up on outstanding accounts receivable, contacting clients as necessary to ensure timely payments.
• Account Reconciliation: Reconcile accounts receivable ledger to ensure all payments are accounted for and properly posted.
• Dispute Resolution: Investigate and resolve any discrepancies or issues related to client billing and payments.
• Reporting: Prepare regular reports on account status, aging analysis, and collections efforts for management review.
• Client Communication: Maintain strong relationships with clients, addressing any inquiries or concerns regarding their accounts.
• Compliance: Ensure adherence to company policies and financial regulations, updating procedures as necessary to maintain compliance.
• State Sales Tax: Work with customers on sales tax eligibility and ensure state sales tax is applied correctly on invoices.
• Auditing: Assist with internal and external audits by providing necessary financial documentation.
• Other job duties and special projects as assigned.

Requirements

• 5+ years of accounting related experience
• 5+ years in the HVAC service environment (preferred)
• Working knowledge of Business Central Systems (preferred)
• General knowledge of Generally Accepted Accounting Principles (GAAP)
• Excellent Microsoft Suites skills (Excel, Outlook, Word, etc)
• Education: Bachelor’s Degree in Accounting, Finance or related field (preferred)
• Detail-oriented and accurate data entry skills
• Organized, self-motivated team player
• Clear oral and written communication skills
• Ability to keep confidentiality and maintain high level of integrity

Estimated Salary: $38/hr - $43/hr, with flexibility based on experience and skills.
