Job summary

ADP, Inc. in Miami seeks an AP Specialist to support the accounting team with accounts payable management, invoice processing, and expense handling. The role reports to Corporate Controller and is onsite in Downtown Miami.

Responsibilities include reconciliations, 1099 assistance, vendor statements, and ensuring timely invoice approvals, with strong Excel and accounting software experience preferred.

Qualifications

• HSD or GED; college degree in accounting preferred.
• Proficient in Microsoft Office with strong Excel skills, Word, Outlook
• Demonstrated working knowledge of accounting software: SAGE, Dynamics, Yardi, Stampli, Quickbooks Enterprise.
• Ability to work both independently with minimal supervision

Responsibilities

• Process outgoing payments in compliance with financial policies and procedures.
• Reconcile credit card statements, collects and tracks receipts.
• Perform day to day financial transactions, including verifying, classifying, and recording accounts payable data.
• Reconcile the accounts payable ledger to ensure that all bills and payments are accounted for and properly posted.
• Verify and investigate discrepancies, if any, by reconciling vendor accounts and monthly vendor statements.
• Facilitate payment of invoices due by sending bill reminders and contacting clients.
• Coordinate invoice workflow to ensure approvals are completed timely.
• Understand expense accounts and job costing.
• Understand compliance issues around accounts payable processes (W-9, sales tax, insurance, etc.)
• Assist with 1099s at the end of the year.
• Perform other accounting assignments and tasks
