Job summary

InnoVision Marketing Group in San Diego is seeking an experienced Accounts Payable Specialist to own the day-to-day AP process, ensuring invoices, approvals, and payments are accurate and timely. You will maintain vendor records, code expenses, and support month-end activities within a professional services agency.

This in-office role requires 2+ years of AP or related experience, strong Excel and accounting software skills, and a keen eye for discrepancies.

Qualifications

• 2+ years of accounts payable, bookkeeping, or related financial experience.
• Strong understanding of accounts payable processes and basic accounting principles.
• Experience processing invoices, payments, expense reports, and vendor records.
• Experience with accounting software and financial management systems.
• Proficiency with Microsoft Excel, Word, Outlook, and related business applications.
• Strong numerical aptitude with the ability to identify discrepancies.
• Excellent organizational and record-keeping skills.
• Strong written and verbal communication skills.
• Ability to work independently while collaborating with Finance and other departments.
• Experience in a professional-services organization is a plus.

Responsibilities

• Own the day-to-day accounts payable process, invoices and payments processed accurately and on time.
• Review, code, and process vendor invoices with approvals and documentation.
• Ensure expenses coded to correct accounts, clients, jobs, and departments.
• Identify and resolve discrepancies, duplicate invoices, missing information, and unusual charges.
• Maintain vendor records, W-9s, payment information, invoices, approvals, and docs.
• Monitor payment schedules, process vendor payments, and communicate with vendors.
• Reconcile vendor statements, credit cards, and accounts, resolving discrepancies.
• Review expense reports and receipts for accuracy and completeness.
• Assist with month-end and year-end close activities and 1099 preparation.
• Work with other departments to obtain approvals and documentation.
