Job summary

International Minerals Carlsbad LLC is seeking a detail-oriented Accounts Payable Specialist to support accurate and timely AP operations, including processing invoices, coding to GL accounts, and assisting with month-end activities.

The ideal candidate understands GAAP, performs two-way and three-way matching, communicates with vendors and internal teams, and has experience with Excel; Microsoft Dynamics is a plus. This role requires meticulous records and adherence to internal controls.

Qualifications

• High school diploma or equivalent required.
• Previous accounts payable, bookkeeping, accounting, or related financial experience.
• Familiarity with GAAP and standard accounting controls.
• Experience supporting month-end closing activities.
• Proficiency in Microsoft Excel, Outlook, and other Microsoft Office applications.
• Strong attention to detail and commitment to accuracy.
• Ability to organize and prioritize a high volume of invoices and deadlines.
• Strong analytical, problem-solving, and communication skills.

Responsibilities

• Review, code, and process vendor invoices accurately and within established deadlines.
• Perform two-way and three-way matching of invoices, purchase orders, and receiving documentation.
• Assign GL codes, cost centers, departments, and project information.
• Verify invoices for accuracy, proper authorization, and supporting documentation.
• Enter invoices and related accounts payable information into the accounting system.
• Research and resolve invoice, pricing, PO, and receiving discrepancies.
• Communicate professionally with vendors, procurement, receiving teams, and internal departments.
• Reconcile vendor statements and follow up on missing invoices, credits, or outstanding balances.
• Assist with weekly payment processing, including checks, ACH payments, and other approved methods.
• Maintain accurate AP records in accordance with policies and recordkeeping requirements.
• Support month-end closing activities, including reconciliations and accruals.
• Help ensure AP transactions comply with GAAP and internal controls.
• Respond to vendor inquiries and resolve payment-related concerns promptly.
• Support audits by providing requested documentation.
• Identify opportunities to improve AP accuracy, efficiency, and workflow.
• Perform additional accounting and administrative duties as assigned.
